RESPONSIBILITIES

Transaction & Record Keeping

  • Apply the correct chart of accounts categories consistently
  • Flag unusual, duplicate, or unclear charges for review
  • Prepare regular expense and cash flow summaries for the business owner

Vendor & Supplier Management

  • Maintain an accurate and up-to-date vendor/supplier database
  • Contact vendors directly by phone or email to clarify charges, billing discrepancies, or service details
  • Track contract terms, billing cycles, and renewal dates for all suppliers
  • Identify billing errors, duplicate charges, or subscriptions to review
  • Ensure vendor records include correct contact info, payment terms, and tax details

REQUIREMENTS

  • 1+ years of bookkeeping experience, preferably for a North American client or employer
  • Experience with QuickBooks Online — or ability to learn quickly
  • Experience with Dext, or ability to learn quickly
  • Strong understanding of expense categorization and chart of accounts
  • Comfortable making phone calls to North American vendors and suppliers in English
  • Excellent written and spoken English communication
  • Able to work during North American business hours (EST or PST overlap required)
  • Reliable high-speed internet connection and a dedicated home workspace
  • Self-directed able to manage tasks and flag issues without constant supervision

NICE TO HAVE

  • Bookkeeping or accounting certification (e.g. BS Accountancy, CPA, or equivalent)
  • Experience supporting multiple business entities under one owner
  • Familiarity with SaaS subscriptions and recurring billing management
  • Prior experience working with a Canadian or US-based MSP or tech/service company

WHAT WE OFFER

  • Stable, long-term remote position with a growing multi-company portfolio
  • Direct access to the business owner — no corporate bureaucracy
  • Consistent hours and reliable pay
  • Opportunity to grow into a broader finance operations role over time
