About the position

The Personal Assistant is a key role within the Procurement Executive Office; providing high-level secretarial and administrative support to the SVP Procurement. This dynamic role offers exceptional exposure, working closely with the offices of the CEO, CFO and EVPs, as well as engaging directly with the external Executives. In addition to supporting the SVP Procurement, the role plays a vital part in supporting the VP Procurement Wells and enabling the smooth operation of the USA procurement team, offering administrative coordination in a fast-pace, high-performing environment, where discretion, efficiency and professionalism are paramount.

Responsibilities

  • Management of the SVP Procurement’s diary, ensuring calendar is well organised, including agendas and briefing notes, capturing these in Microsoft OneNote and liaising with the Business Advisor on priorisation of time and briefing requirements.
  • Working with the Business Advisor, coordinate the SVP Procurement’s leadership team meetings, global town halls and other functional meetings.
  • Arranging meetings, lunches, team away days, and personal appointments as required.
  • Handling routine correspondence from bp leadership and other stakeholders, including trading messages, sharing with relevant contacts, filing and sending out responses on behalf of SVP Procurement’s name as and when required.
  • Maintaining up to date contacts for the SVP Procurement’s key internal and external stakeholders.
  • Liaising with the EVP’s in coordination of diary commitments involving the SVP Procurement.
  • Preparing expense claims for the SVP Procurement and submitting for processing and payment.
  • Preparing travel arrangements for the SVP Procurement. Including flights, accommodation, cars, visas and preparation of travel itineraries.
  • Supporting event logistics when the SVP Procurement is hosting event guests, ensuring seamless and professional experience.

Requirements

  • Advanced digital and technology proficiency in all Microsoft Office applications (in particular, Outlook, Teams, OneNote, Sharepoint).
  • Excellent organisation skills, with a strong attention to detail and accuracy.
  • Ability to handle sensitive information with tact and discretion, always maintaining confidentiality.
  • Ability to navigate and collaborate effectively within large, complex, and matrixed organizations,
  • Excellent interpersonal skills to build strong positive relationships with key internal and external stakeholders.
  • Excellent verbal and written skills in order to represent the office of the SVP Procurement.
  • Ability to work autonomously in planning, organizing and prioritizing workload daily, meeting deadlines in a fast-paced environment.
  • Demonstrated ability to remain calm, organized, and solutions‑focused when priorities shift, adapting quickly and independently without losing momentum

Nice-to-haves

  • Working knowledge of bp’s Ariba Guided Buying also desirable.
  • Proven track record in a similar capacity for C-Suite executive of a large multi national company
