Position Summary

The Payment Posting Manager leads daily payment posting operations to ensure insurance and patient payments, adjustments, denials, credit balances, and reconciliation activities are completed accurately, timely, and in alignment with established standards.

This role drives posting accuracy, reconciliation integrity, staff performance, supervisor readiness, and workflow improvement by setting clear expectations, monitoring results, resolving issues, and escalating to the Zone Manager when risks may affect financial accuracy, compliance, or customer delivery.

Qualifications

Required

  • 5+ years in healthcare payment posting, billing, or A/R management, including 2+ years in a supervisory role
  • Familiarity with electronic payment systems and medical billing platforms such as Epic, NextGen, Athena, Intergy, or eCW
  • Experience supervising, training, and coaching staff against quality, productivity, and documentation standards
  • Experience developing supervisors, leads, or senior staff through coaching, delegation, and follow-through
  • Ability to monitor posting activity and reconciliation results to identify errors, delays, and trends
  • Ability to apply quality controls for posting accuracy, documentation, and compliance
  • Ability to research and resolve underpayments, overpayments, and denials
  • Ability to use trends, audit findings, and reconciliation issues to improve workflows and reduce repeat errors
  • Strong organization, prioritization, follow-through, and accuracy in deadline-driven work

Preferred

  • Experience analyzing payment posting, reconciliation, productivity, quality, or trend reports
  • Experience partnering with billing, collections, finance, revenue support, or operations to resolve posting discrepancies
  • Experience developing or reinforcing procedures, standard work, or quality controls

Key Responsibilities and Expected Performance Outcomes

Key Responsibilities

  • Lead, coach, and train payment posting supervisors, leads, and staff to meet quality, productivity, documentation, and service expectations
  • Conduct supervisor, team, and operational touchpoints to review priorities, address workflow barriers, and align staff on expectations
  • Set and evaluate individual, team, and supervisor performance goals; provide timely feedback and annual performance input
  • Develop supervisor and lead readiness by clarifying authority levels, reinforcing decision boundaries, and coaching follow-through on team-owned issues
  • Ensure payments, adjustments, denials, credit balances, and exceptions are posted accurately and timely
  • Monitor receipts, posting activity, reconciliation reports, and work status to identify errors, delays, and risks
  • Maintain HIPAA, regulatory, documentation, and confidentiality standards in daily posting operations
  • Generate and analyze reports on posting activity, reconciliation status, productivity, quality, discrepancies, and trends
  • Review posting activity, audit findings, and quality trends to correct errors and prevent recurrence
  • Research and resolve underpayments, overpayments, denials, unapplied cash, credit balances, and escalated posting concerns
  • Implement and sustain workflow improvements, procedure updates, and quality controls that reduce errors and improve consistency
  • Stay current on payer requirements, industry changes, and internal process updates that affect posting accuracy or workflow
  • Ensure completion of month-end close by the 10th day of the following month
  • Communicate payment discrepancy trends, risks, corrective actions, and escalation needs to the Zone Manager with impact, evidence, options, and recommended next steps
  • Own customer-impacting posting issues by ensuring they are visible, coordinated, and resolved before they disrupt customer outcomes or downstream revenue cycle work

Expected Performance Outcomes

  • Posting outcomes (accuracy, timeliness, and reconciliation integrity) are predictable and stable
  • Recurring posting defects decline through prevention and workflow improvement rather than repeated rework
  • Escalations are surfaced early with impact, evidence, options, and recommended next steps rather than discovered through surprise
  • Customer-impacting posting risks are identified, communicated, and resolved before they create downstream disruption or avoidable escalation
  • Supervisor, lead, and team capability increases over time through coaching and clear standards, reducing dependence on manager intervention
  • Compliance and documentation discipline hold under pressure, without silent exceptions or workaround normalization

Core Competencies

  • Critical Thinking: Prioritizes posting risks, exceptions, and escalations by financial impact, compliance exposure, and reconciliation integrity.
  • Interpersonal Skills: Communicates expectations clearly, supports de-escalation, and reinforces standards with staff and cross-functional partners.
  • Organizing and Planning: Structures staffing, workflows, controls, and close timelines to sustain accurate posting and reliable month-end performance.
  • Production: Maintains timely, accurate posting output through repeatable processes, quality controls, and reduced rework.
  • Dependability: Owns posting outcomes, honors commitments, and surfaces risks early.
  • Coaching: Builds team capability through coaching, feedback, and clear standards that increase decision ownership.
  • Project Management: Leads posting-related improvements by defining ownership, timelines, success criteria, and follow-through.
  • Quality Focus: Maintains posting accuracy, compliance, and documentation discipline while addressing root causes and preventing repeat issues.

1. HOW DO YOU PLAN YOUR DAY?

This is what this question poses: When do you focus and start working seriously? What are the hours you work optimally? Are you a night owl? A morning bird? Remote teams can be made up of people working on different shifts and around the world, so you won't necessarily be stuck in the 9-5 schedule if it's not for you...

2. HOW DO YOU USE THE DIFFERENT COMMUNICATION TOOLS IN DIFFERENT SITUATIONS?

When you're working on a remote team, there's no way to chat in the hallway between meetings or catch up on the latest project during an office carpool. Therefore, virtual communication will be absolutely essential to get your work done...

3. WHAT IS "WORKING REMOTE" REALLY FOR YOU?

Many people want to work remotely because of the flexibility it allows. You can work anywhere and at any time of the day...

4. WHAT DO YOU NEED IN YOUR PHYSICAL WORKSPACE TO SUCCEED IN YOUR WORK?

With this question, companies are looking to see what equipment they may need to provide you with and to verify how aware you are of what remote working could mean for you physically and logistically...

5. HOW DO YOU PROCESS INFORMATION?

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

Or you may receive even more specific questions, such as: What's on your calendar? Do you plan blocks of time to do certain types of work? Do you have an open calendar that everyone can see?...

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

8. HOW TO PRIORITIZE WORK?

The day I watched Marie Forleo's film separating the important from the urgent, my life changed. Not all remote jobs start fast, but most of them are...

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
