Overview
We are seeking a dynamic and organized Front Desk Coordinator to be the welcoming face of our office. Responsibilities

  • Greet visitors, clients, and vendors warmly, providing excellent customer service and assistance
  • Answer multi-line phone systems promptly, directing calls accurately and professionally
  • Manage appointment scheduling and calendar coordination for staff using Microsoft Office and Google Workspace tools
  • Handle data entry, filing, and document proofreading to maintain accurate records and correspondence
  • Support office management tasks such as supply ordering, mail distribution, and maintaining cleanliness of the reception area
  • Assist with clerical duties including typing, photocopying, and organizing files for easy retrieval
  • Provide administrative support to team members as needed, including personal assistant tasks and basic bookkeeping using QuickBooks

Experience

  • Prior office experience or administrative experience in a professional setting is preferred
  • Proven customer service skills with the ability to handle phone etiquette confidently
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Bilingual abilities are highly desirable to serve diverse clients and visitors effectively
  • Experience with front desk or medical/dental receptionist roles is a plus
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Knowledge of office management procedures including filing systems, calendar management, and clerical tasks
