Responsibilities

  • Schedule, confirm, reschedule, and cancel appointments accurately using company systems and scheduling tools.
  • Respond to customer inquiries by phone, email, chat, or text in a professional, friendly, and timely manner.
  • Maintain up-to-date calendars and client records to help prevent conflicts, missed appointments, and data errors.
  • Send reminders, follow-up messages, and important pre-appointment information to clients as needed.
  • Coordinate with internal teams or service providers to ensure appointment availability and smooth scheduling workflows.
  • Resolve routine scheduling concerns with patience and escalate complex issues when appropriate.
  • Meet productivity, accuracy, and customer service expectations while working independently in a remote environment.

Requirements

  • High school diploma or equivalent required; additional administrative or customer service experience is a plus.
  • Previous experience in appointment scheduling, customer support, call center work, or administrative assistance preferred.
  • Strong verbal and written communication skills with a warm, professional, and customer-focused approach.
  • Excellent organizational skills and attention to detail with the ability to manage multiple tasks efficiently.
  • Comfort using computers, web-based platforms, scheduling software, email, and messaging tools.
  • Ability to work day or night shifts reliably, depending on business needs and assigned schedule.
  • Self-motivated and dependable, with the ability to work independently and maintain productivity in a remote setting.
